Do I Have to Feed My Vendor Team?

Yes, you are required to feed the vendors that are at your wedding during the reception. You may or not be thinking why do I need to feed them? I already paid for their services. Let’s pretend that you are thinking that, no worries no judgement from me. The thought first crossed my mind on my own wedding planning. It is good to note that some catering companies provide a set number of complementary vendor meals.

What is a “Hot Meal”?

Now that we got that out of the way, the next question I get a lot is “Do I have to pay for a hot meal?” Not providing them a “hot meal” may not be an option for you. If you are dealing with a veteran vendor, it is specifically mentioned in their contract. I remember reading this in my photographer’s contract and thinking why in the world would they say “hot meal” and it was written just like that.

The reason it is like that is that some caterers, not all thankfully, offer a special vendor meal. While this meal is going to cost you close to the same price per head, it is nothing more than a brown bag sandwich just like we used to eat in grade school. Complete with a cold meat sandwich and a bag of chips.

Now I am sure every vendor will agree, something is better than nothing. But when looking to provide meals to your vendor team that is present during your reception, I would recommend opting for the same meal you are offering your guests.

For one it is easier, the food is already there. But more importantly, these people have been working extremely hard to make your special day everything you could imagine it to be or they are working hard to make sure that they capture every special moment. Let’s fill their bellies so they are fueled to get back out there are finish the evening strong! Poor Bob the Bartender is going to need either a chicken/beef/fish option in his belly in order to head back out there and continue to smile and nod at your extremely flirty drunk Aunt Sally!

Vendors that Need Meals:

  • Photographer and their second shooters (if applicable)
  • Videographer and their second shooters (if applicable)
  • DJ/Band Members
  • Venue Coordinator (if applicable)
  • Wedding Planner and assistants (if applicable)
